Mohill Basketball Club (“the Club”) is committed to protecting the privacy and personal data of our players, parents, coaches, volunteers, and supporters. This policy outlines how we collect, use, store, and share your personal information in accordance with the Irish Data Protection Act 2018, the General Data Protection Regulation (GDPR), and the rules of our national governing body, Basketball Ireland.
1. About Us & Data Control
Mohill Basketball Club operates as a data controller for the information you provide locally to our club committees and coaches. Our main activities are conducted at the Topline Mohill Community and Sports Hub, Coolabaun, Mohill, Co. Leitrim.
2. Information We Collect
We collect personal information necessary to manage club activities, fulfill insurance obligations, and ensure the safety of all participants. This includes:
- Contact & Identity Data: Full names, addresses, phone numbers, and email addresses of members (and parents/guardians for youth teams).
- Age Validation Data: Date of birth for all players to ensure correct division assignment within our underage squads and senior rosters.
- Medical & Emergency Data: Relevant medical conditions, allergies, or medications that our coaches must be aware of to ensure safe play, alongside emergency contact names and phone numbers.
- Media Data: Photographs and digital video footage captured during club games, community matches, or official club training sessions.
3. How We Use Your Information
We use your data only for direct club purposes, which include:
- Registering players with regional leagues and coordinating match fixtures.
- Distributing important notifications regarding training schedules, weather-related cancellations, and registration fee renewals.
- Safeguarding club activities and ensuring swift communication in the event of an on-court medical emergency.
4. Data Sharing & Affiliation with Basketball Ireland
As a competitive sports club, we work closely with regional and national governing bodies.
- Mandatory Registration: Player identity and date-of-birth data are securely passed to Basketball Ireland via official registration portals to secure player insurance, referee validation, and official tournament entry.
- Strict Limits: We never sell, trade, or distribute your personal contact information to external commercial third parties or advertisers.
5. Social Media & Media Rights
In line with the Basketball Ireland Media & Social Media Policy, the Club uses its official Facebook and Instagram feeds to highlight match successes and foster community engagement.
- Consent: We seek your explicit consent (via our registration form) before publishing any recognizable photographs or video clips of underage players.
- Takedown Policy: All members have an absolute right to request the deletion of an image or video from our official platforms. Such requests can be made directly to any club official and will be processed immediately.
6. Data Retention and Security
- Access Restricting: Access to digital database sheets or paper enrollment forms is strictly restricted to designated club officers (such as the Club Secretary, Treasurer, or Registrar).
- Deletions: Personal data is retained only for as long as a player maintains an active membership with the club. Records are securely deleted or shredded following two consecutive seasons of inactive membership, save for financial transaction audits required by Irish tax regulation.
7. Your Statutory Rights
Under GDPR, you hold specific rights regarding your personal information. You have the right to:
- Request a copy of the personal information the club holds about you or your child.
- Ask for immediate correction of inaccurate contact or identity records.
- Request the complete erasure of your files if you are resigning from the club.
- Withdraw parental consent for media usage at any stage during the basketball season.
